Privacy Policy
Last updated October 5, 2026
This policy explains what information GathrRound collects, why, who can see it, and the choices you have. GathrRound is run by Timothy Hahn ("we", "us").
The short version: we collect what's needed to run an app for planning events with your friends. We don't sell your information, we don't show ads, and we don't track you across other apps or websites.
1. Information you give us
- Account details: your first and last name, username, email address, and password. Your password is handled by Google's Firebase sign-in service; we never see or store it in readable form. If you sign in with Google or Apple, we receive your name, email address, and account ID from them (with Apple, you can choose to hide your email address, and we then get a private relay address instead).
- Phone number: required, and confirmed with a code sent by text message.
- Birthday: optional.
- Profile: your profile photo and "About me", if you add them.
- Things you create: events (name, description, place, date and time, photo), groups, friend requests, invitations, and your replies (going, maybe, waitlist, and any note you add).
- Messages: what you send in event and group chats, including photos, polls, votes, reactions, and GIFs.
- Your choices: notification settings, whether friends can find you by phone number, and whether you want news and updates by email.
- Reports and blocks: if you report a person, an event, or a message, we keep your report together with a copy of what you reported, so we can review it. If you block someone, we keep a record of that so the block works.
2. Your contacts
If you choose "Find friends" and allow access to your contacts, the app sends the phone numbers in your contacts to our server to check which ones belong to people on GathrRound. We use them only for that check. We don't save your contacts, and numbers that don't match anyone are not stored or logged. Contact names stay on your phone.
This is optional. You can turn off contacts access at any time in your phone's settings.
3. Information collected automatically
- A notification token for your phone, so we can send you push notifications.
- Your phone's time zone (for example "America/New_York"), so emails about events can show times the way you'd read them. This is not your location.
- A scrambled identifier for your phone, so we can remember it for 30 days and you don't have to approve every login by email.
- Basic technical records created when the app talks to our servers, such as the time of a request, your IP address, and error reports. These are kept by our hosting provider for a limited time and used to keep GathrRound working and secure.
- Counts used to prevent abuse, such as how many verification texts or contact lookups an account has requested.
We don't use advertising or analytics trackers, and we don't collect your location. An event's place is only what the host types in.
4. What your phone asks permission for
- Photos: only the photos you pick, for your profile, an event, or a chat.
- Contacts: only if you use "Find friends" (see above).
- Notifications: to tell you about invitations, event changes, reminders, and messages.
- Calendar: "Add to calendar" opens your phone's own calendar screen with the event filled in. We can't read your calendar.
5. How we use your information
- To run GathrRound: creating your account, showing your events and groups, delivering invitations and messages, and sending reminders.
- To keep accounts secure: confirming your email and phone number, approving new logins, and preventing spam and abuse.
- To send notifications you've chosen to receive.
- To send news and updates by email, only if you opted in. You can opt out at any time in Settings.
- To fix problems and improve the app.
- To meet legal obligations and enforce our Terms of Service.
We don't sell your personal information, and we don't share it for advertising.
6. Who can see what
- Any logged-in GathrRound user can see your public profile: your name, username, profile photo, and "About me".
- Only you can see your email address, phone number, and birthday.
- People who already have your phone number in their contacts can find your profile, unless you turn this off in Settings. Your number itself is never shown to them by the app.
- People invited to an event can see the event's details. They can see who else is going unless the host has hidden the guest list. Hosts and co-hosts can see everyone invited and their replies.
- Members of a shared group can see the group and each other. A private group is visible only to the person who made it.
- Chat messages can be seen by the people in that event or group chat.
- Only you can see who you have blocked. People aren't told that you blocked or reported them. Reports are seen only by us.
7. Companies that help us run GathrRound
We share information with a small number of service providers, only so they can provide their service to us:
- Google (Firebase and Google Cloud): stores accounts, profiles, events, messages, and photos; runs our servers; delivers push notifications; and provides sign-in, including Sign in with Google. Data is stored in the United States.
- Twilio: sends the text message that confirms your phone number. Twilio receives your phone number.
- Resend: delivers the emails we send you (login confirmation, event invitations, and event updates). Resend receives your email address and the content of those emails.
- GIPHY: provides GIF search in chats. Search words are sent to GIPHY from our server, not from your account. When a GIF is displayed, your phone loads it from GIPHY, so GIPHY can see your IP address like any website you visit.
- Apple and Google: deliver push notifications to your phone, distribute the app, and provide Sign in with Apple and Sign in with Google.
- Expo: passes push notifications for iPhones on to Apple, and delivers app updates. Expo receives the notification's text and a token that identifies your phone.
We may also share information if the law requires it, to protect someone's safety, or to protect GathrRound and its users. If GathrRound is ever sold or merged, your information may be transferred as part of that, and we will tell you first.
8. How long we keep information
- Events are deleted 14 days after they end, together with their invitations, replies, chat messages, and photos.
- Your account information is kept until you delete your account.
- When you delete your account, we delete your profile, private details, photos, groups you own, friendships, events you host, your invitations and replies, the messages you sent, and our server records about you. Deletion starts immediately and can't be undone. Reports you sent are kept without your identity, so the problem you reported can still be dealt with.
- Reports are kept for as long as needed to review them and to deal with repeat problems.
- Technical records and security logs are kept for a short time (typically up to 30 days) and then deleted by our hosting provider.
9. Your choices and rights
- See and change your information: in Settings and on your profile.
- Delete your account and data: Settings → Manage Account → Delete Account.
- Notifications and marketing emails: turn them on or off in Settings.
- Being found by phone number: turn it off in Settings.
- Phone permissions (photos, contacts, notifications): change them in your phone's settings.
Depending on where you live, you may have legal rights to access, correct, delete, or receive a copy of your personal information, or to object to how it is used. To use these rights, or if you have a question or complaint, email info@gathrround.com. We will respond within the time the law requires. You may also have the right to complain to your local data protection authority.
We don't sell personal information or share it for cross-context behavioral advertising.
10. Children
GathrRound is not for children under 13. We don't knowingly collect information from children under 13. If you believe a child has created an account, contact us at info@gathrround.com and we will delete it.
11. Security
We protect your information with encrypted connections, access rules that limit who can read each kind of data, confirmed email addresses and phone numbers, and approval of new logins. No system is perfectly secure, so we can't guarantee absolute security. Please use a strong password and keep it private.
12. Where your information is processed
GathrRound's servers are in the United States. If you use GathrRound from another country, your information will be transferred to and processed in the United States, where privacy laws may be different from those where you live.
13. Changes to this policy
We may update this policy as GathrRound changes. If the changes are significant, we will let you know in the app or by email before they take effect. The date at the top shows when it was last updated.
